What we do with your details.
The short version: you send us your name and number so we can quote a job, we use them to do exactly that, and we don't sell them to anyone.

This policy covers spearsystems.lk and the enquiries you send us through it. It is written by Spear Systems Modular Solutions ("we", "us"), a modular construction company based in Sri Lanka.
What we collect
Only what you type into a form or send us in a message. Our quote and contact forms ask for:
- Your name
- Your phone number
- Your email address
- The kind of space you want built, and a rough budget range
- Whatever you write in the description box
- Which language you'd prefer we reply in
The budget range and language preference are optional. The rest we need in order to reply to you at all. We don't ask for, and have no use for, your NIC number, bank details or payment information at the enquiry stage.
Why we use it
To answer your enquiry, prepare a quote, and talk to you about the job. If you don't become a customer, that's the end of it. We do not send marketing email to people who only asked for a quote, and we do not sell, rent or trade your details to anyone.
Most people reach us on WhatsApp, and several buttons on this site open a WhatsApp chat with a message already written. If you use one, your message and phone number go to us through WhatsApp, and WhatsApp's own privacy terms apply to that conversation as well as ours. We are not able to change how Meta handles WhatsApp data. If you would rather not use it, our phone number and email address are on the contact page.
Who else sees it
Your enquiry reaches our own team and the following services we use to run the business:
- Airtable - your enquiry is stored here. It is the customer list we work from.
- Vercel - hosts this website, receives the form when you submit it, and keeps standard server logs including IP addresses for a short period.
- Google - we are notified of new enquiries by email and read them in Google Workspace.
- Meta (WhatsApp) - if you contact us that way.
These providers store data outside Sri Lanka, mainly in the United States. Nobody else gets your details, and no advertiser is given your name, number or email.
Cookies, analytics and advertising
This site does not use cookies to identify you personally. We load our measurement tools through Google Tag Manager, and where we run advertising we use the Meta Pixel to count how many people saw an ad and how many went on to enquire. These tools set cookies and record events like page views and form submissions. They tell us that an enquiry came from an ad; they do not tell an advertiser who you are, and we never send them your name, number or email.
You can block them in your browser settings, or with your device's tracking controls, and the site will still work normally.
How long we keep it
Enquiries are kept for two years so that we can pick up a conversation again if a project restarts, which in this trade it often does. Records tied to an actual contract are kept longer where Sri Lankan tax and company law requires it. After that we delete them.
Your choices
Write to Info@spearsystems.lk and you can ask us to:
- Tell you what we hold about you
- Correct anything that's wrong
- Delete your details
- Stop contacting you
We'll action it within 30 days. You don't need to give a reason, and asking costs nothing. Sri Lanka's Personal Data Protection Act No. 9 of 2022 sets out these rights, and this policy is written to follow it.
Children
This is a business-to-business website. It isn't aimed at children, and we don't knowingly collect anything from anyone under 18.
Changes
If we change this policy we'll change the date at the top. If a change materially affects what we do with details you already sent us, we'll tell you directly rather than expect you to re-read this page.
